Managing social media for a hospitality business can quickly become another job on an already very long list.


There's content to plan, photos and videos to capture, Reels to edit, captions to write, posts to schedule and comments and messages to keep on top of, all while actually running the business.


Having the right tools in place can make that process much easier. You don't need a complicated setup or endless subscriptions, but a few useful platforms can help you stay organised, plan ahead and manage your social media much more consistently.


Here are some of the tools I'd recommend for hospitality businesses.


Instagram Edits: for creating your Reels

Short-form video is a really useful way for hospitality businesses to show potential customers what an experience actually feels like, and you don't need complicated editing software to create it.


Instagram Edits gives you the tools to bring your footage together, trim clips, add text, captions, music and other elements before sharing your finished video.


You don't need to over-edit your hospitality content either. A few good clips showing food arriving at the table, drinks being poured, a room ready for check-in, your team at work or what's happening behind the scenes can give you everything you need for an engaging Reel.


Focus on capturing good footage and having a clear idea of what you want the video to show, then use the editing tools to bring it together.


Notion: for planning your social media content

Not every useful social media tool needs to be used for creating or publishing posts.


Notion can be a really useful place to plan your social media content, keep track of ideas and map out what's coming up over the next few weeks and months.


For hospitality businesses, there's often a lot to think about throughout the year, from seasonal menus and events to school holidays, packages, offers and important booking periods. Having all of that in one place makes it much easier to plan content around what's actually happening in the business.

Canva is one of the most useful tools to have in your marketing toolkit, particularly if you don't have an in-house designer.

For hospitality businesses, I'd recommend creating a small bank of templates for the things you regularly need to talk about, whether that's events, seasonal menus, offers or announcements. It saves you starting from scratch every time you need to create something.


Meta Business Suite: for managing Facebook and Instagram

If Facebook and Instagram are your main social media platforms, Meta Business Suite can take care of a lot of the day-to-day management in one place.


You can use it to schedule content across both platforms, respond to messages and comments and keep an eye on how your posts are performing.


Scheduling is particularly useful in hospitality because the time you want a post to go live isn't necessarily the time you're going to be available to post it. Planning and scheduling content in advance means your social media can keep running even when you're dealing with a busy service or welcoming guests.


Buffer: for managing multiple platforms

If your social media goes beyond Facebook and Instagram, using a dedicated scheduling tool such as Buffer can make managing everything much easier.


Rather than jumping between different apps, you can plan and schedule your content from one place and get a much clearer overview of what you're posting across your different channels.


This can be particularly useful if more than one person is involved in your marketing, or if you're managing several accounts or locations. Having a central calendar makes it much easier to see what's coming up and make sure your content isn't becoming too repetitive.


Your phone's camera roll: for building your content library

This might sound like an obvious one, but having an organised camera roll can make a huge difference when it comes to managing your social media.


Hospitality businesses often have plenty of content, but it's spread across different phones, WhatsApp conversations and folders, which means nobody can actually find it when they need it.


Try creating albums for the different types of content you regularly use, such as food, drinks, rooms, your team, behind the scenes, the local area and seasonal content.

Find a system that works for you

There are hundreds of social media tools available, but having more platforms doesn't necessarily make your marketing any easier.


For some hospitality businesses, Canva, Meta Business Suite and a simple Notion content calendar might be everything you need. Others managing multiple channels, locations or larger teams might benefit from adding a scheduling platform like Buffer into the mix.


The important thing is finding a system that makes it easier to plan ahead and stay consistent without creating even more work for yourself.
